How Yavland processes and protects personal data.

Privacy Policy

Who we are. Yavland is field-operations software for landscaping and land-maintenance companies, operated by Roberts Fixit LLC ("Yavland", "we", "us"). This policy explains what we collect, why, and your choices.

Information we collect

• Account & contact info you or your employer provide: name, email, phone, company, role.
• Content you create in the app: customers, jobs, estimates, proposals, work orders, appointments, notes, invoices, stocked-material references, reviews, and photos or files you attach.
• Location: when a crew member clocks in or uses the crew map, we collect device location only while the app is in use, to record where work happened. You can decline the OS permission; the app still works.
• Usage & device data: basic logs, app version, and device identifiers needed to run the service and send notifications.
• Payment data: processed by Stripe. We do not store full card numbers; we keep records of transactions (amounts, status) tied to your account.

How we use it

To provide and operate the service (scheduling, time tracking, estimates, proposals, invoicing, inventory, equipment, media, messaging, reviews, and reporting), to sync your accounting via QuickBooks when you connect it, to send account and job notifications, to provide support, to secure the service and prevent abuse, and to comply with law.

AI features

Yavland uses AI providers (Anthropic, Google, and OpenAI) to power features you choose to invoke, including AI suggestions and insights, invoice extraction, and the AI Yard Visualizer. The AI Yard Visualizer creates a concept visualization from a photo you provide and stocked-material references in your account; it is not a survey-accurate rendering. Photos you submit for rendering are processed by the AI provider to produce the generated image.

SMS and text messaging

If you enable text messaging, Yavland sends job, appointment, and review texts through Twilio only to recipients who have opted in. Standard STOP, START, and HELP commands apply. Your company is responsible for collecting and maintaining recipient consent and for using messaging features in compliance with anti-spam, TCPA, and similar laws.

Media storage and deletion

Photos and files are stored with our hosting and CDN providers so they can be displayed in the app, proposals, and related workflows. When you delete a customer, user, job, or your account, we remove the associated media files and personal data as described in Retention.

Sub-processors and when we share it

We do not sell your data. We share it only with service providers that help us run Yavland, under contract and only as needed:

• Stripe for payments and billing.
• Twilio for SMS and text messaging, if you enable it.
• Anthropic, Google, and OpenAI for AI features you invoke.
• Render for hosting, databases, and application infrastructure.
• Cloudflare for delivery, CDN, and traffic protection.
• Our email provider for transactional email.
• QuickBooks/Intuit only if you connect an accounting integration.
• Legal authorities only where required by law.

Your data & your rights

Company data belongs to the customer (your employer's account). You can export your data from the app at any time, and request correction or deletion by contacting us at support@yavland.com. Depending on where you live, you may have additional rights (access, portability, deletion) under laws such as the CCPA/CPRA or GDPR; we honor applicable requests.

Retention

We keep account and operational data while your account is active and as needed to provide the service. If a subscription lapses and remains unpaid, the account is held for at least 90 days. After that hold period, we may delete operational data and media and anonymize personal information, while retaining minimal invoice and payment records as required by tax and accounting law. You may request deletion earlier by contacting support@yavland.com.

Security

Data is encrypted in transit (HTTPS). Access is restricted and role-based. No system is perfectly secure; report concerns to security@yavland.com.

Children

Yavland is a business tool not intended for anyone under 16 (or the age of digital consent where you live). We don't knowingly collect their data.

Changes

We'll post updates here and change the "Last updated" date; material changes will be notified in the app or by email.
